ROLES AND RESPONSIBILITIES:

Network Building

  • Support network engagement through scheduling, preparation of documents, note-taking, and follow-up communication.

Data Collection & Reporting

Budget & Procurement 

  • Assist the Program Coordinator in monitoring and reporting on the implementation budget, ensuring expenses are tracked and reported monthly.
  • Support the Program Coordinator in procurement activities, including identifying and liaising with project contractors (e.g., media partners, videographers, video editors).

Book Publishing Management

  • Assist the Program Manager and Program Coordinator in the publisher selection process by preparing required documents and communication.
  • Support coordination with publishers to ensure tasks and timelines are understood and followed.
  • Module Development Support
    • Document notes from workshops and development meetings.
    • Assist with formatting, organizing, and preparing module drafts for review.
    • Support translation processes by coordinating drafts and tracking submissions.
    • Implement revisions based on the Coordinator’s or RtR’s guidance (e.g., simple edits, layout adjustments).
    • Maintain version control and ensure all module files are properly stored and updated.
    • Assist with follow-up communication and logistics related to module development tasks.
  • Workshop Coordination
    • Coordinate logistics for project workshops, including preparing, translating, and revising workshop materials.
    • Support communication with participants and partners before, during, and after the workshops.
  • Book Creation Process
    • Support meetings between Room to Read, publishers, and other stakeholders by arranging schedules and preparing materials.
    • Track progress of book development activities and ensure documentation is updated and organized.
    • Assist in collecting and coordinating feedback and revisions between Room to Read, publishers, and relevant partners.
    • Support publisher partners to complete tasks as required and according to the project timeline.
    • Ensure all files from publishers are collected and stored properly in the dedicated Google Drive or hard drive.
  • Book Printing Coordination
    • Assist in coordinating the book printing process, including collecting quotations, preparing necessary documents, and supporting agreements.
    • Help monitor production schedules and ensure the safe and timely delivery of books to the warehouse.”

Book Distribution & Inventory Support

  • Coordinate the operational aspects of book distribution with publisher partners, publishers, and logistics teams to ensure timely delivery.
  • Maintain detailed records of book movements and ensure documentation is complete and accurate for distribution and inventory tracking.
  • Maintain accurate book inventory logs (check-ins/check-outs) and submit updated records to the Coordinator for quarterly reporting.
  • Assist in preparing and maintaining warehouse space, including organizing books and supporting basic storage and handling systems.”

Licensing

  • Support licensing documentation, coordination, and follow-up activities.
  • Prepare and organize materials needed for licensing and assist communication between publishers and Room to Read.

Literacy Cloud Development

  • Support content management and updates for Literacy Cloud.
  • Prepare and coordinate files for upload with Room to Read consultants.
  • Identify platform issues and report them promptly for follow-up.

Online Catalog Management & Approval Support

  • Support collaboration with the Ministry of Education (MoE) to obtain approval for placing all Room to Read (RtR) Indonesia-developed storybooks on the MoE online e-catalogue and SIPLah.
  • Assist in maintaining positive communication and coordination with MoE personnel to facilitate timely review and approval processes.
  • Prepare, organize, and submit required applications and supporting documents for catalog listing and approval.
  • Coordinate with publisher partners to upload approved book titles to the MoE online catalog and SIPLah, ensuring accuracy and completeness of submissions.

REQUIREMENTS:

  1. Minimum bachelor degree with min. GPA 3.30, preferably in Literature, Education Management or related major;
  2. Having minimum 3 years of working experiences in officer level;
  3. Familiarity with the publishing industry, including knowledge of book production processes, editing, proofreading, and copyright laws is essential;
  4. Being detail-oriented to ensure accuracy in editing, proofreading, and maintaining consistency in book content;
  5. Good capacity in strategic thinking while keep focus on project goals and outcomes;
  6. Having experiences as trainer for adults; preferably having experiences in book publishing or book development; 
  7. Able to learn quickly, good initiative, well-organized, and able to identify problems and propose practical solutions;
  8. Demonstrated technical skills in project, budget and resources management.
  9. Demonstrated skills in communication, teamwork and developing networks with education stakeholders.
  10. Strong team player and good interpersonal skills;
  11. Computer proficiency in general office software (i.e. Word, PowerPoint, Excel, and Internet).
